The Tracking Summary report is designed to provide a comparative view of overall project data in terms of planned and actual hours.

The data is organized by each employee individually, with the option to drill down into project-specific details.

Interface overview

The report is displayed in a table format and includes the following data:

Column
Description
Employee
Name of the employee
FTE
Full-Time Equivalent
Project
Project name
Planned
Total planned hours
Actual
Actual hours reported on projects
Notes

The report allows for a breakdown of the total hours per employee. Next to the employee’s name, there is a button that, when clicked, displays detailed information—showing which projects they are involved in, the allocation percentage for each project, planned hours, and the hours reported for each.

Filters for period and project are added on the right side of the page.

The system also provides the option to export the report in PDF format.

Calculation formulas for total hours:

Total Timeoff hours = Sum of all tracked Timeoff hours (in minutes) for employees

Total Work Hours = Sum of all Fact Internal Hours - total Timeoff hours

Total Billable Hours = Sum of all Fact External Hours

Billable Rate = Total Billable Hours / Total Work Hours

Fact Internal Hours = Sum of all tracked hours (paid/unpaid) - internal minutes

Fact External Hours = Sum of all paid external hours - external minutes

Example:

If an employee tracked 8 hours of timeoff and 8 hours of work, then:

Total Timeoff hours = 8 hours

Total Work Hours = ((8+8) total tracked hours) - (8 hours of timeoff) = 8 hours

Total Billable Hours = 8 paid hours

Billable Rate = 8/8 = 1 = 100%
